The problem

Cash in tins, records on paper.

Collection pots go out, cash comes back, and in between sits a paper trail the trustees have to stand behind. Plenty of small charities track pots, counts and banking in notebooks and spreadsheets — honest work, but hard to evidence, and harder still to hand over when a volunteer moves on.

Almoner keeps the whole chain in one place, so the answer to "where did this money come from?" is a record rather than a recollection.

What it does

Stewardship you can show.

  • Pot tracking — where every pot is, the venue hosting it, who placed it, and when it's due for collection.
  • Witnessed counts — the amount counted, who counted it, who witnessed it, and the paying-in reference once it's banked.
  • Donors and Gift Aid — declarations held against each donor, eligible donations totalled by claim period, and the 25% worked out for you.
  • Grants and restricted funds — what a funder awarded, what it may be spent on, what's left, and when the report is due.
  • Income and expenditure — categorised the way charity accounts need it, against a financial year end you set once.
  • Volunteers and events — shifts volunteers can claim, and hours logged against the work they did.
  • Compliance calendar — filings, insurance renewals, DBS checks, policy reviews and trustee meetings, each with an owner and a due date.
  • Documents — policies, minutes and accounts with review dates, and a record of which trustees have signed what.

Two named people on every cash count is the detail auditors tend to ask about, and the one most easily lost in a spreadsheet. Almoner records both, on every collection.

Volunteers, trustees and admins each see a different slice of it: volunteers get the pots, shifts and tasks they need to do the work, while donor records, finances and Gift Aid stay with the people accountable for them.

  • Every count, witnessed and banked

    Every collection record holds the amount counted, the volunteer who counted it, the one who witnessed it, and the paying-in reference once it clears the bank.
